This Privacy Policy describes how EL MINARA LIMITED DBA UNIFY, and its affiliates (BeSimplified, “us”, “we”, “our”) collect, share, and use information in connection with a user’s use of our websites, applications or services (collectively the “Services”), including besimplified.com. This Privacy Policy (the “Privacy Policy”) applies to any information that our customers may process when using our Services, provided when signing up for our services, or when using our services. We may collect, receive, and process information about users of our Services ("users," “they”, “their”, "you," or "your") from various sources, including: (i) information users provide through their user account on the Services (their "Account") if they register for the Services; (ii) a user’s use of the Services; and (iii) from third-party websites, partners, or services. We recommend that all users read this Privacy Policy in full to ensure that they are fully informed about how their data is collected, shared, and used by our Services. Information a User Provides
- Account Creation: When a user creates an account on BeSimplified, we may ask for contact related information. This may include the user’s first and last name, their company's name, their phone number,their personal or work address, and their email address.
- Payment Information: When a user creates their account, they will be prompted to enter their payment information, which is directed to our third party payment processor, Stripe, Inc. This information is not retained by us in our systems in any way, however we have access to, and might retain, information of subscribers through our third party payment processor.

- Communications: Any communications sent directly to us via email or other methods may contain information such as the sender’s name, email address, phone number, or the content of messages or attachments they send us. We may also receive confirmation that they’ve opened an email from us, and that may employ a method that does not notify the receiver before they open the email.
- User Content: Any content voluntarily uploaded by the users to our Service is stored and processed on by us. This includes any data or content uploaded to our Services or email account linked to our inbox Services.
If any additional personal information is requested by us, the purpose of such information will be made clear at the time the request is made.
Information We Collect When You Use Our Services
- Cookies, Activity Logs, and Other Tracking Technologies: As is the case with most modern websites (and often required for basic functions), we gather information, log it, and utilize cookies which contain a small amount of identifying information that helps both with tracking and with personalized user experience. When a user uses our Services, we may automatically collect information about their device for purposes of correctly rendering web content, security, usability research, and advertising. We also aggregate and analyze this information to help us make better informed decisions and measure the performance of our business.
Information We Receive from Third Parties
- Third-Party Accounts: If a user chooses to link our Services to a third-party account, via any integrations we support or through our API, we will receive information about that account, such as their authentication token from the third-party account, to authorize linking. If a user wishes to limit the information available to us, they should visit the privacy settings of their third-party accounts to learn about their options.
- Third-Party Partners: We may also receive publicly available information about users from our third-party partners and combine it with data that we have about our users.
Mobile Application Data
Device Information: When you use our mobile application, we automatically collect certain information about your device, including:
- Device identifiers (such as device ID) for push notification delivery via Firebase Cloud Messaging
- Operating system type and version.
- Device model and manufacturer.
- App version information.
Location Information: If your organization administrator enables location-based features and you grant permission, we may collect and process your precise location data when you use clock-in/clock-out features within the mobile app. Location data is only collected when:
- Location tracking is enabled by your organization administrator
- You have granted location permission to the mobile app
- You are actively using location-dependent features (such as mobile clock-in/out)
Push Notification Data: To provide push notifications through our mobile app, we collect and process device tokens and notification preferences through Firebase Cloud Messaging services.
Crash and Performance Data: We use Firebase Crashlytics to collect crash reports, performance data, and diagnostic information to improve app stability and performance. This may include stack traces, device state information at the time of crashes, and app performance metrics.
There are various ways we use the information we collect, including:
- To operate, provide, and maintain our Services.
- To provide personalized services.
- To send users text messages and notifications.
- To improve our Services.
- To develop new Services, products, features, and functionality.
- To analyze how our users use our Services.
- To process user financial transactions.
- To communicate with users, either through one of our partners or directly, including for customer service reasons, and to provide users with updates and information related to the Service, as well as for general marketing and promotional purposes.

Firebase Services: We use Google Firebase services to support our mobile application functionality:
- Firebase Cloud Messaging for push notifications.
- Firebase Crashlytics for crash reporting and app performance monitoring.
These services may process your device information, crash data, and notification tokens in accordance with Google's Privacy Policy (https://policies.google.com/privacy) and Firebase Terms (https://firebase.google.com/terms/).
4. Legal Basis For Collecting And Processing Personal Information
The legal basis for collecting, processing, and using the personal information described above in this document will depend on the nature of the personal information concerned and the specific context in which we obtained it.
Under normal circumstances, we will typically only collect personal information from users when:

These measures are designed to provide an appropriate level of security for the risks associated with processing user information. However, internet based technology, and all technology for that matter, cannot be guaranteed to be 100% secure.
We will never request your account credentials. You should never share your BeSimplified account information, including your username and password, with anyone else. We recommend that you use a unique password for your BeSimplified account which you do not use on other websites. You should check your BeSimplified account on a regular basis to ensure that your information has not been tampered with or altered. Any suspicious activity regarding your account, including automated messages or calls from unknown parties, should be reported to BeSimplified using the contact information below.
6. Third-Party Services
A user may access third-party services through our Services, by hyperlink or other means. We are not responsible for the privacy policies or practices of these third-party services, and we encourage all users to carefully review the privacy policies of all third-party websites they visit and/or services they utilize.
7. Access
If you are a registered user or utilize our Services in any way, information associated with your account or contract with us may be accessible by logging into our Services or by contacting us via email.
To protect user privacy and security, we may take reasonable steps to verify user identity before updating or removing user information. The information provided by users may be archived periodically stored by us according to our backup and disaster recovery processes. The ability for users to access or correct information may be limited during any time when access or correction could:

If we have an ongoing legitimate business need to do so, we will retain user information that we have collected. This may include providing a service that the user has requested or to comply with applicable tax, legal, or accounting requirements.
When there is no longer an ongoing business need to process your personal information, it will either be deleted or anonymized. If this is not possible at the present time, then it will be securely stored and isolated from any further processing until deletion is possible.
9. Your Data Protection Rights Under The General Data Protection Regulation (GDPR)
Users that are residents of the EEA have the following data protection rights:

Most popular internet browsers have an option to disable, limit, or partially restrict cookies. If a user changes the way their browser accepts cookies, features of our website or Services that rely on cookies may no longer work properly. In addition, advertising material received may be less tailored to the individual user.

BeSimplified does not intend to collect or knowingly collect information from children under the age of 13, and children under 13 are prohibited from using our Services. 12. Changes To This Privacy Policy
This Privacy Policy may be modified at any time, so please review it frequently. Minor (grammatical, formatting, related) changes to this Privacy Policy will be posted on our website. If we change the Privacy Policy in a material way that affects the way we use or share personal information previously collected from users through our website or Services, we will notify users through our Services including by email, or other communication methods.
13. International Data Transfers
BeSimplified is a global business. We may transfer personal information of our users to different countries than the data was collected from. By providing us with your information, you consent to the transfer to, the processing and storage of your information in, other countries, including those outside of the UK or European Economic Area. These countries may be subject to different data protection laws than the country that the user initially provided the information from. When we transfer a user’s personal information to other countries, we will protect that information as laid out in this Privacy policy.
14. Mobile App Permissions
Our mobile application may request the following permissions:
Location Permission: Optional permission that allows location-based clock-in/out functionality when enabled by your organization administrator. You can deny this permission and still use other app features.
Notification Permission: Required for receiving push notifications about work-related updates, schedules, and communications. You can manage notification preferences through your device settings.
Device Information Access: We access basic device information for app functionality, security, and support purposes.
You can modify these permissions at any time through your device's settings. Denying certain permissions may limit some app functionality but will not prevent you from using core features.
15. Location Data Specific Rights
If you have granted location permission:
- You can disable location tracking at any time through your device settings or app preferences.
- Location data is only collected during active use of location-dependent features.
- You can request deletion of location data by contacting [email protected].
- Location data is not collected when location features are disabled by your organization administrator.
